Privacy Policy

Voiceform is an AI conversational form builder operated by Voiceform Labs, Inc. ("Voiceform", "we", "us"). For privacy questions you can reach us at privacy@voiceform.ai.

Where you use Voiceform to collect responses from your own audience, you are the controller of that data and we act as your processor.

• Account data — email address, display name and avatar you provide at sign-up or in your profile.
• Workspace content — forms, questions, templates, AI prompts and the responses submitted to your forms.
• Voice input — when a respondent uses voice answers, audio is transcribed to text. We store the transcript with the response.
• Usage data — activity events such as form creation, publishing and response volume, used to power your dashboard and usage limits.
• Billing data — plan, currency, interval and payment records. Card details are handled by our payment processor and never stored by Voiceform.

• To provide the product: authenticate you, store your forms and show responses.
• To generate AI output: your prompts and form context are sent to our AI provider to draft questions, summaries and lead scores.
• To calculate usage against plan limits and to process subscription payments.
• To send service and account emails, and to respond to support requests.
• To keep the service secure, debug faults and prevent abuse.

AI features send the text you supply — a build brief, a form's fields or a submitted response — to a model provider to return generated fields, summaries or scores. We do not use your workspace content to train public models. AI output is generated automatically and should be reviewed before you publish it.

Voiceform runs on managed cloud infrastructure. Data is encrypted in transit with TLS and encrypted at rest by our hosting and database providers. Workspace records are protected by row-level access rules so only your account can read them.

Access to production systems is limited to team members who need it. No online service can promise perfect security, so please use a strong, unique password.

• Cloud hosting, database and authentication infrastructure.
• An AI model gateway used for form generation, summaries and scoring.
• Razorpay, for subscription payments and payment verification.
• Email delivery for transactional and account messages.

We keep account and workspace data while your account is active. Deleting a form removes it and its responses from your workspace. When you close your account we delete or anonymise associated data, except records we must keep for tax, accounting or fraud-prevention purposes.

Depending on where you live, you may have the right to access, correct, export or delete your personal data, to object to certain processing, and to withdraw consent. You can edit your profile in the workspace at any time.

Voiceform is not intended for children under 16 and we do not knowingly collect their data. If you believe a child has given us personal data, contact us and we will remove it.

We may update this policy as the product evolves. Material changes will be announced in-app or by email, and the "last updated" date above will change.
